Job Title: Executive Assistant / Office Manager

Location: Amsterdam, Netherland ( Onsite )

Duration/Term: Long Term Contract

Job Description:


We are looking for a proactive and hands- on Executive Assistant / Office Manager to support the daily operations and management of our Amsterdam office. This role is ideal for a highly organized individual who can manage office administration, support the executive team, and serve as company secretary. The position requires a strategic thinker with excellent communication and interpersonal skills, adept at handling both administrative tasks and high-level responsibilities for senior leaders.



Key Responsibilities:

Office Management:

  • Stakeholder Coordination: Liaise with staff, suppliers, and facilities management to ensure seamless office operations.
  • Budget and Supplies Management: Oversee the office budget, manage supplies, and handle daily correspondence to maintain an efficient workspace.
  • Procedure Development: Design, implement, and update office procedures and administrative systems.
  • Employee Onboarding Support: Facilitate induction programs, coordinating IT and HR setup for new employees.
  • IT Coordination: Act as an intermediary between corporate IT and local users to address technical needs.

Executive Assistance and Company Secretary Duties:

  • Executive Support: Assist local Board management with day-to-day activities, including meeting planning, diary management, travel arrangements, and expense tracking.
  • Board Meetings and Documentation: Serve as company secretary, recording and archiving documentation for Board and quarterly Supervisory Board sessions.
  • Event Coordination: Organize company events and conferences as needed.
