Summary: The Chief of Staff will serve as a trusted partner and advisor to the executive leadership team, primarily focusing on administrative management, executive support, and streamlining internal communications. This role requires a detail-oriented professional who can manage high-level administrative tasks, organize internal workflows, and support the CEO and senior leaders in achieving their goals efficiently. The Chief of Staff will act as a key liaison, ensuring the smooth running of executive activities and handling the administrative operations of the leadership office. Priority will be given to candidates based in New York or Washington, DC.
Essential Duties and Responsibilities: Executive Support & Calendar Management: - Manage the CEO's and leadership team's schedules, ensuring efficient use of their time.
- Coordinate internal and external meetings, including agendas, materials, and follow-ups.
- Serve as a gatekeeper for executive requests, prioritizing meetings and ensuring timely responses.
Internal Communication & Correspondence: - Draft and manage key executive correspondence, internal communications, and reports.
- Ensure clear and effective communication between the executive team and other departments.
- Prepare presentations, briefs, and meeting documents for leadership meetings.
Administrative Oversight: - Oversee administrative functions, including document management, office organization, and executive travel arrangements.
- Ensure all executive office processes and systems are efficient and well-organized.
- Serve as the primary point of contact for administrative queries and logistics.
Board & Stakeholder Support: - Coordinate communications, materials, and meeting logistics for board members and key stakeholders.
- Manage executive-level reports and presentations for board meetings.
- Support the CEO in maintaining relationships with key external partners and stakeholders.
Project Coordination: - Assist in administrative aspects of special projects, tracking timelines and deliverables.
- Provide administrative support for company-wide initiatives, ensuring effective execution.
- Track key action items for leadership and provide regular status updates.
Policy and Process Improvement: - Identify areas for improvement in administrative processes and propose streamlined workflows.
- Implement new administrative systems and processes to increase efficiency.
- Maintain confidentiality and discretion while handling sensitive information.
Qualifications: - A business administration degree or a related degree. Master's degree an advantage.
- 5+ years in a managerial or business capacity
- A track record of successfully managing numerous teams and departments
- Successfully managed projects in the past
- Excellent written and verbal communicator who places a heavy emphasis on departmental communication
- Incredibly adaptable and committed to productivity effectiveness
- A history of organizing and directing strategic projects
Compensation: $75,000 - $95,000 with benefits and potential bonus and equity
